Purpose of Job

To produce high-quality administrative services to both internal and external customers. This will require an ability to manage your own workload through excellent time management and administrative skills. The successful candidate will demonstrate their ability to work using their own initiative in a quick and accurate manner.

Scope of Responsibilities

Monitor phones
Photocopying/scanning documentation and saving to the Z Drive
Organising meeting rooms and conferences
Typing letters on behalf of the Property Managers
Collation of and distribution of Service Charge Packs (including accounting liaison: statements & demands)
Raising, administering and filing of Purchase Orders
Fee raising/Management of Fee Schedule
Contractor instruction (as directed by the Property Manager)
Tenant liaison (as directed by the Property Manager)
Overseeing Credit Control (dialogue with the Credit Controller and management of arrears schedule)
Raising Client Statements and associated management fee Purchase Orders (where management fees are determined by a percentage proportion. This is not required of fixed fees), adding these to Qube for authorisation and payment
General updates and management of Qube data (Accounting liaison)
Water Recharges (currently only required at Chatham Quays on a quarterly basis)
Electricity Recharges (currently only required at Meer Street (quarterly), and Southall (monthly)
Administering to procedures and ISO compliance/auditing
Administering to annual insurance recharges (involving tenant pack submission and insurance broker liaison)

Knowledge, Skills and Experience

Essential

  • Previous experience in an administration role
  • Exceptional communication skills, both verbal and written
  • Ability to work in a fast-paced environment
  • Good working knowledge of Microsoft Office software

 

Desirable

  • Experience working within the Property Industry
  • Working knowledge of Qube (Property Management System)
  • Knowledge and understanding of property Leases
  • Experience of communicating with external customers
